Job Summary:

This position is responsible for providing several administrative support services for the department’s Officer(s), Manager(s) and Section Head(s) and prepares various types of analysis, reports or presentations of a somewhat complex nature. You will be also responsible for the administration of various types of programs, projects or processes and acts as Secure Payments, Payments Strategies and Fin-tech liaison. The incumbent in this position is very knowledgeable in department and Bank policies and procedures.

Principal Accountabilities:

1. Provides a wide variety of administrative support services such as scheduling and coordinating meetings and calendar management. Prepare and assemble meeting materials and records meeting minutes.
2. Coordinates travel requests and itineraries for officers and directors.
3. Acts as department timekeeper; reviews and approves weekly attendance. Monitor monthly contractor accruals, if applicable; and reconciles contractor hours to billable hours.
4. Maintains documentation for contracts, expenses, purchase orders and invoices. Reviews and processes department disbursements, monitors reporting and investigates variances.
5. Responsible for onboarding of staff, contractors, consultants, interns and visitors, allocates workstations and desktop equipment needs for all staff, supports manager’s off-boarding process and ensures return of all desktop equipment.
6. Maintains department inventory of supplies, laptops and peripherals.
7. Collects project updates from staff and provides monthly status reports to senior management.
8. Leads or assists with logistics for conferences and events.
9. Independently conducts industry research on relevant payment/security topics for Officers and prepares various ad-hoc reports, presentations or analysis of a somewhat complex nature.
10. Exercises considerable discretion and independent judgment in the resolution of issues.


Experience normally acquired through, or equivalent to, the completion of an Associate’s degree and 5+ year of job-related experience.
